Job Description

The Role

We are seeking a highly organised and efficient Administration Assistant to join our Drama department at Peninsula Grammar. Commencing around September 2025, this is a 12-month parental leave contract position that offers an exciting opportunity for an individual with a passion for musical productions and drama. As the Administration Assistant - Musical Productions & Drama, you will play a key role in supporting the day-to-day administrative functions of the Drama department and support the school's theatrical productions throughout the year. Your responsibilities will include:

  • Provide administrative support to the Drama Department, including coordinating events, excursions, and logistics.

  • Organise and manage all drama-related activities, from booking venues and transport to liaising with families and staff.

  • Support school productions (Senior, Middle, and Junior Musicals) with end-to-end coordination, including planning, rehearsals, and performance logistics.

  • Collaborate with internal teams (AV, Marketing, Property) and external contractors to ensure successful production outcomes.

  • Maintain compliance with health and safety policies, including risk assessments and incident reporting for all drama events and excursions.

  • Handle production budgets, purchasing, and financial reporting in collaboration with department heads and finance staff.

  • Oversee marketing and communications for productions, including ticketing, promotions, and community engagement.

  • Manage resource bookings and enquiries related to costumes, sets, props, and venue use within the Performing Arts Centre.

  • Supervise events and excursions, ensuring student safety and adherence to school protocols, even outside standard hours.

The ideal candidate will have excellent organisational skills, strong attention to detail, and the ability to multitask effectively. A passion for theatre, music, or performing arts is highly desirable. About you 

  • Proven experience in a similar administrative or event coordination role, ideally within an educational or arts environment.
  • Possess outstanding organisational and administrative skills, with the ability to manage multiple priorities and meet tight deadlines.
  • Excellent interpersonal and communication skills, enabling effective collaboration with staff, students, families, and external stakeholders.
  • Demonstrated initiative, accountability, and the capacity to work independently in a busy, dynamic environment.
  • Highly proficient in Microsoft Office and other relevant digital systems, using technology efficiently to support your role.
  • Professional and confidential manner, with a genuine concern for student wellbeing and family engagement.
  • Strong appreciation for the Performing Arts and understand its role in education.
  • Thrive in a fast-paced setting, with the ability to prioritise tasks, adapt quickly, and remain calm under pressure.

All positions at Peninsula Grammar require

  • Current Working with Children Check and Police Check (or willingness to apply) 
  • First-Aid and CPR qualifications including accredited Anaphylaxis and Asthma Training 
  • Child Safety training (provided by the school upon commencement)
